Administrative Manager, nonprofit

The Administrative Manager oversees and implements the organization?s core systems--administrative, program support, fiscal, and technological,  reporting to the president, supervising an editorial and administrative assistant, and working with In Trust?s accounting firm.In Trust Inc., a nonprofit providing educational resources to theological seminary governing boards.

 

Administrative

Oversees all aspects of administration for the staff network, but especially for the Wilmington office and the president 

1.  Works with the president to keep the office environment healthy and true to In Trust?s mission

2.  Coordinates preparation and communications for board and staff meetings

3.  Maintains the office: files, insurance policies, furniture and equipment, supplies

4.  Supervises the editorial and administrative assistant, and hourly temporary staff

 

Program Support

Manages the smooth and efficient delivery of In Trust programsHandles logistics for the annual seminary membership drive, product marketing, sales records, and event registrations, locations, and materials Oversees the customizing of board assessment tools and other online products for client schools   Manages the circulation lists for the magazine and electronic newsletter

 

Fiscal

Ensures that fiscal systems are well-maintained, readily accessible, and compliant with regulatory requirements. Serves as liaison with In Trust?s national payroll service Manages accounts in QuickBooks in consultation with an accounting firm Develops annual budgets with the president, generates timely financial reports, and provides documentation for the annual audit Assists the president with the development of grant budgets and financial reports and handles the logistics for the annual fund

 

Technological

Oversees office technology, including

1.  Troubleshooting technological issues related to telecommunications, the
Internet, intranet, computers, printers, and duplicating equipment

2.  Hiring and monitoring the work of computer system consultants to maintain  systems and resolve problems in a timely fashion

 

Background and Skills:

 

Bachelor's degree and proven experience in administrative management  Ability to handle multiple assignments and prioritize work for a small organizationExceptional organizational skills and strong attention to detail Ability to anticipate what needs to be done Excellent follow-through Excellent written and oral communication skills Sensitivity to the diverse and divergent religious commitments of our constituency Excellent interpersonal skills Ability to work well both as team member and independently Intermediate to advanced skills in using Microsoft Office?Word, Excel, Outlook, Access, 43PowerPoint, QuickBooks, Adobe Acrobat, and Internet search engines. Capacity to learn and become proficient with a customized database
