Assistant, Purchasing

ORGANIZATION DESCRIPTION: The mission of Safe horizon is to support, prevent violence and promote justice for victims of crime and abuse, their families and communities. We are the nation?s leading not-for-profit victim assistance organization, offering more than 75 programs in courts, schools, shelters and community offices throughout New York City?s five boroughs.

 

DEPARTMENT DESCRIPTION: The Purchasing Department is responsible for supporting Safe Horizon in procuring the highest quality products at the best prices while ensuring timely delivery.

 

RESPONSIBILITIES: Under the supervision of the Purchasing Manager, the Purchasing Assistant will be responsible for assisting in the supply, purchase and inventory of all operating supplies, equipment and furniture procures by the offices and shelters scattered throughout New York City that are managed by Safe Horizon. Additional responsibilities of this position include:

 Inputting purchase requests and/or journal entries into the Purchasing moduleCoordinating the paperwork flow through the Purchasing departmentFollowing-up on all purchase orders to facilitate closurePreparing the appropriate purchase order package for submission to Accounts PayableReconciling the Open Purchase Order report on a monthly basis.Maintaining appropriate vendor and bidding filesMaintaining department supplies and formsActing as a liaison between Accounts Payable and outside vendors regarding invoicesOpening, clocking and tracking all incoming Purchase requests and other mailAnswering phone inquiriesPerforming other related duties as assigned

 

QUALIFICATIONS: A Bachelor?s degree with 2 years of relevant experience required. Purchasing experience preferred. Must have strong interpersonal, analytical, organizational, computer skills.  Must have a good working knowledge of Microsoft Word, Excel and Power Point applications.
