Gift Manager
Position: Gift Manager
The Hartford Foundation for Public Giving is looking for an experienced professional to oversee its systems for gift acceptance, fund monitoring and reporting, and database management. The Gift Manager works with donors, attorneys, financial advisors and financial institutions to coordinate incoming cash, stock gifts and planned gifts.
Requirements: 5+ years experience in bank trust, probate or legal field preferred. Good communication and writing skills, command of numbers, experience with financial and legal documents, good teamwork skills. Proficiency in Microsoft Word and Excel required; knowledge of planned giving and database software preferred. College degree required; additional professional certification is a plus.
Overview
The Gift Manager reports to the Senior Gift Planning Officer and is a key member of the Philanthropic Services team. H/she has primary responsibility for:
1. Overseeing internal systems and procedures for gift acceptance, documentation, acknowledgements and reporting, ensuring those systems function well and recommending changes as necessary
2. Overseeing all types of planned gifts, monitoring and reporting on all donation data
3. Ensuring timely and helpful communication with donors, advisors and prospective donors about funds and gifts
4. Producing analytical reports about gifts and funds from database and paper files
5. Overseeing fund information in database and paper files
Gift Processing (20%)
? Oversees gift processing system, supervising gift entry and gift acknowledgement, including delegating tasks to others
? Composes gift acknowledgment correspondence and oversees its execution
? Handles all transactions associated with the transfer, sale, and proceeds distribution of gifts of securities, including communication with brokers and financial institutions
? Supervises acceptance of and transfers assets for planned gifts, working closely with planned gift agents and donor?s professional advisors; ensures all paperwork for planned gifts is complete and complies with Foundation policies
? Reconciles all gifts to ensure accuracy
? Serves as primary liaison between Philanthropic Services and Finance departments for systems and gift processing policy questions
Gift and Fund Monitoring and Reporting (35%)
? Helps design, establish, document and monitor internal procedures and systems for accepting and recording all gifts
? Produces, analyzes, and reviews gift reports for monthly Board of Directors? meetings
? Oversees trusts where HFPG, Inc., is named trustee
? Ensures that donors who have made life-income gifts (CRT, CGA, PIF) are receiving timely payments and service from the Foundation?s financial
agent institutions, coordinating with those agents regularly
? Monitors testamentary gifts, planned gifts and living trusts, communicating with attorneys and probate courts as necessary
? Maintains regular communications with banks, financial institutions, attorneys, and others as necessary, for all funds
? Maintains ?future? fund file
? Prepares reports and oversees distribution of select semi-annual or annual fund reports and correspondence for all types of funds as needed
? Under management?s direction, prepares specialized reports analyzing a wide variety of data
? Serves as department liaison to external auditors on annual basis
Planned Giving (10%)
? Supports senior philanthropic and senior gift planning officers in their work with donors or advisors requesting planned giving information or illustrations
? Ensures donors? wishes are accurately and appropriately documented and communicated within the Foundation
? Works with senior philanthropic services and senior gift planning officers to steward donors, as necessary, for issues directly related to planned gifts
Fund Management (20%)
? Under supervision of senior philanthropic services officer, drafts correspondence to prospective and current donors
? Under supervision of senior gift planning officer, responds to inquiries and requests from donors, advisors, financial institution, etc., regarding gifts and funds
? Responsible for creation of electronic and paper files for new funds, and for continuing management of fund files and their contents
Database (15%)
? Serves as liaison to internal FIMS users group
? Maintains strong working knowledge of systems and looks for training opportunities for Philanthropic Services staff
? Assists cultivation/prospect team with coding and offer recommendations when possible
? Supervises departmental database maintenance, including annual clean-up projects, coding and database updates
? Provides departmental support and supervision for all reports, including Crystal Reports
Skills
? 5+ years experience in bank trust, probate, accounting, or legal fields
? B.A./B.S. degree required; professional certification preferred
? Excellent command of numbers
? Excellent database management skills, both in design and management
? Excellent written and verbal communication skills
? Attention to detail, accuracy, and proofreading skills
? Experience with financial and legal documents and analysis
? Good teamwork skills
? Proficiency in Microsoft Word and Excel required
? Knowledge of planned giving software preferred
