Special Events Coordinator
P.G. Chambers School is a school whose mission is to help children with special needs and their families achieve their maximum potential by providing special education, therapy, and intervention services of recognized excellence within a challenging, caring, and nurturing environment; and to advocate for opportunities that enrich the lives of all children.
The primary responsibility of the Special Events Coordinator at P.G. Chambers School will be to manage special event fundraising activities. This is a part-time (25 hours/week) position.
Scope of Responsibilities:
? Plan, coordinate and execute the School?s fundraising events, meeting or exceeding the annual revenue benchmarks for each event.
? Draft the Special Events portion of the School?s Development Plan.
? Develop and manage a budget for each event.
? Assist Executive and Development Directors in the creation of all printed materials and press information related to each event.
? Conduct prospect research on potential corporate sponsors and other donors.
? Draft correspondence needed to solicit and acknowledge donations, in-kind gifts and services.
? Solicit event sponsorship gifts and other donated items/services in-person or via the telephone.
? Maintain relationships with event sponsors throughout the year.
? Coordinate the printing and mailing of event sponsorship and donation requests.
? Ensure that information related to all donations and in-kind gifts are provided to the Data Resource Manager for recording in Raisers Edge.
? Plan, manage and schedule event planning committee meetings.
? Prepare meeting agendas and meeting summaries and distribute information to committee members.
? Develop a plan for use of event volunteers, recruit, manage, and acknowledge volunteers.
? Attend and help oversee special fund raising events.
? Provide monthly reports to the Development Director, with more frequent updates as requested or needed.
? Compile management reports, statistical data, and financial details for Executive and Development Directors.
? Prepare notebook on each event to be used in preparation of events for subsequent years.
? All development duties as appropriate.
Qualifications:
? Minimum of two years of special events planning experience.
? Working knowledge of Raisers Edge fundraising software.
? Possesses superior written and oral communication skills, organizational and interpersonal abilities, project and time management skills.
? Values teamwork, is self-motivated, and can work independently.
? Demonstrates a high level of computer literacy on Microsoft Word (mail merge function) and Excel and in using the Internet as a form of research and e-mail as a form of communication. Experience with Raisers Edge software is a plus.
? Ability to multi-task and manage multiple projects simultaneously.
? Ability to lift 40 pounds. Event set-up and management often requires moving, setting up, and breaking down tables, chairs, and other supplies.
? Bachelors Degree
License or Certificate:
