Business Operations Coordinator USA

Principle Tasks:

Siebel CRM ToolLoad un-forecasted Opportunities and Quotes into the Siebel CRM tool when surprise PO?s are receivedManage stocking forecast orders each month for the FSP 150 product line in Siebel

 

Sales Order Processing Check purchase orders to insure they are correct including: ADVA company, product, quantity, pricing, etc. insuring it matches the corresponding ADVA quote in SiebelAs necessary fill out forms and request new accounts be set up in the BaaN MRP systemEnter the order into the ADVA BaaN MRP system insuring complete accuracy of all informationScan and file electronically & hard copyMatch and correct any differences in an order with a quote in Siebel/PPL systemsWork with BuO Meiningen to insure accuracy, completeness of the order and on-time delivery of ordersWork with ADVA shipper in Dallas to insure prompt delivery of all orders

 

Loans Processing & TrackingEnter loan equipment into BaaN MRP system insuring complete accuracyMatch and correct any differences in loaned equipment with quote in Siebel/PPL systemsTrack open loans and remind KAM?s when they are due backWork with KAM to insure equipment is returned or invoiced

 

ReportsWeekly completion of FNC RBR report which update planned ship date on all open PO?sDaily posting of Orders and Dispatch to ADVA Server

 

Provide administration/support service within Sales Team - to include:Support to regional sales force: dealing with general customer queries; problems associated with shipments of orders including customs related issues, etc.Sales interface for customers i.e. requests for information, pricing, product availability, shipment details, etc.General customer correspondenceAssist the sales team in all sales tools related questions









Other Duties:

Back-up Mahwah BuO Coordinator when necessary Generating basic reports on an as-needed basis Maintain hard copy customer PO and working files Support to Global Sales Coordinators and NA Sales Team as required

Customers (Internal & External)US Sales Team and BuO Operations Teams (internal)All Customers (external)

Personal Skills/Qualifications/Training/Experience:Bachelors degree or equivalent experience  Must have advanced Excel Skills and be competent with Word and PowerPoint At least one year?s experience in Inside Sales coordination ? preferably with a global company Good communication skills ? both written and oral ability to speak German a plus Strong organizational skills, attention to detail and follow up  Customer-service oriented/ can-do attitude Ability to work alone and as part of a team Positive attitude and a willingness to learn
