Document Services Specialist

Position Objective

To develop, implement, maintain, secure and distribute controlled documents and document systems to ensure process and product related documentation meets operational needs and conforms to industry standards.   

 

Essential Functions

Review completed batch record documents and interpret the record to ensure it follows standard manufacturing procedures and processes.  Identify inconsistencies, incomplete steps, or other issues in the record and confer with manufacturing and/or management to resolve discrepancies.

 

Collaborate with line management in the formatting and generation of documents that reflect their manufacturing processes and conform to the requirements of the document system.  Confer with document originators to resolve discrepancies and update procedures. 

 

Issue documents to manufacturing as completed.

 

Provide on-going support, research and monitoring for the Document Control Service and interface with Marketing, Engineering, Manufacturing, and R&D and other departments in the organization as required. 

 

Supervise document coordinators, establish work flow, and schedule day-to-day activities of the assigned area.

 

Resolve scheduling conflicts or formatting problems associated with the lay out of the PPS (Product Profile Sheets).

 

Ensure that documents are revised and processed in a timely manner, according to the change control process.  Maintain accurate document files.

 

Develop Standard Operating Procedures and applicable forms related to the control and logistics of Document Services.

 

Train and monitor daily activities of department personnel and help to resolve discrepancies.  Perform training for the users of the document control system.

 

Serve on various teams and committees as required.

 

Compile materials to be typed following written or oral instructions.

 

Operate computer or word processing equipment to compile, type, revise, combine, edit, print, file and store documents.

 

Read instructions accompanying material or follow verbal instructions from supervisor or person requesting document to determine format and content required.

 

Proofread and edit completed documents for grammar, spelling, punctuation and adherence to appropriate formatting.



May issue, maintain, store and archive laboratory notebooks. 

 

Nature and Scope:

Excellent written and oral communication skills are required.  Must be able to interface effectively with all levels of company employees.  Works on problems of diverse scope where analysis of data required evaluation of identifiable factors.  Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.  Accuracy is required in performing all functions of this position.  Initiative and organization skills are valuable to ensure a smooth office operation.  Must possess self-motivation, enthusiasm, positive attitude and perform as a team player.

 

Education:

BA/BS in business administration, communications, or related discipline required.

 

Experience:

Requires a minimum of 3 years of work experience in document systems (both manual and electronic systems) in diagnostic industry or another GMP regulated environment.  Must demonstrate exceptional computer skills, software application proficiency and database management especially MS Access, Excel, Word, Adobe Acrobat, Visio and other programs as required.
