Description

The American Institute of Certified Public Accountants (AICPA) is in the process of relocating a substantial portion of its business to Durham, NC.  Join us in our new facility as the Facilities Coordinator, and help us grow.

The Office Coordinator provides facilities support services for employees at AICPA, coordinates activities of supporting organizations to assure continuity and smooth operations on a daily basis. The Office Coordinator may perform clerical functions and must be able to lift up to 25 pounds and/or assist others in the manipulation of heavy objects.

ResponsibilitiesUpdate floor plan; Maintain seating assignments; Review invoices from vendors and process for approval; Input purchase requisition and receive invoice against PO; Issue package/building passes for removal of items from premises; Issue, replace, and cancel access cards as per established procedure; Work with Facilities Manager to develop and implement access card procedures and policies; Process request for furniture/office keys; Maintain key manual; Coordinate activities relating to employee/guest parking; Prioritize work requests and ensure proper follow-up with a reasonable turnaround time; Back-up all records management functions; Coordinate and handle services required for Fire Drill/Evacuation Team programs with building security and Durham staff; Maintain and update Emergency and Security Handbook; Coordinate staff relocations/in-house moves with Telecom, Information Technology, and facility maintenance coordinator; Schedule and execute relocations; Work with Facilities Management to develop move procedures and disseminate to relocating employees prior to their move date; Obtain proper sign-off; Assist in special projects as assigned; Maintain relationship with day porter for occasional requests of clean-up needs; Supervise, in the absence of the Facilities Manager, scheduling, assigning, and prioritizing workload.

RequirementsHigh school diploma of GED; At least 3 years of experience that is directly related to the duties and responsibilities specified above; Ability to coordinate and organize meetings and/or special events; Knowledge of supplies, equipment, and/or services ordering and inventory control; Organizing and coordinating skills; Skilled in the use of personal computers and related software applications (Word, Excel, Outlook); Knowledge of the operational characteristics of electronic office equipment; Ability to gather data, compile information, and prepare reports; Ability to communicate effectively, both orally and in writing; Positive attitude; Ability to juggle tasks and priorities; Clerical and basic office skills.
