Junior Meeting Planner

 

WHO YOU ARE:

 

You have completed 1 to 2 years of full time work experience and are looking to continue or begin your carreer in event planning.  You have excellent customer service skills, are highly motivated and professional, and are extremely organized and detail oriented.  You have experience organizing mulitiple projects and deadlines and working in a crossfunctional team.  You enjoy travel (about 15%) and are comfortable dealing with senior level executives.

WHAT YOU WILL BE DOING:

 

Reporting to the Director of Conference Services, you will be responsible for all conference logistics and providing outstanding customer service to all of our clients and speakers associated with conference.  You will provide assistance to Senior Meeting Planners as needed.

 

Responsibilities Include:

- Work with hotel to establish menus, room set up and AV for each event.

- Manage the sponsors/exhibitors prior to the event, making sure that necessary materials are submitted on time and that all their requirements are met on site, including signage, exhibition space, AV requirements, Internet access, etc.

- Exhibit management, including floor plans, booth selection, and coordination with the drayage company.

- Key liaison with all speakers ensuring their presentations are submitted on time and all travel and AV needs are met.

- Work with external vendors on the creation and timely delivery of conference materials such as conference documentation, signage and giveaways such as bags, lanyards, etc.

- Book flights and hotel stays

- Prepare all onsite documents and registration reports

- Responsible for onsite execution of the event, including running registration, monitoring F&B functions, session rooms, the exhibit hall from set up to breakdown, and evening affairs such as receptions and dinners.

- Plan and executing onsite sponsored special events including dinners, golf outings, and themed receptions.

- Maintain accurate forecast of costs and contain costs within a given budget. 

- Database maintenance of speaker and sponsor records.

- Responsible for timely delivery of all conference supplies onsite

 

Requirements:

- BA/BS

- 1 + year(s) office experience

- Proficient in MS Word, Excel and Outlook

- Wiliness and desire to travel
