Practice Administrator - Hospital

My client, a busy practice in Opthamalogy is looking for an Administrator who has experience with Quickbooks, billing knowledge, experience with insurance companies, healthcare experience (opthamalogy experience preferred but not a must), financial reporting and bookkeeping.


A Bachelors Degree is a must.  Will be reporting to 5 Doctors, and reporting to the CFO on a monthly basis. 


Salary range is about 50k/year to 70k/year depending on experience.


The position of practice administrator is effectively the chief operating officer of the practice.  In other words, this individual is responsible for ensuring that the doctors can come in each day to an office that is functioning properly, so that they can focus on delivering the highest quality eye care in the Delaware Valley!


 


Specific duties include:


 


Cash flow management – The administrator ensures that all cash deposits balance with the day’s payment postings, and records the deposits in the financial accounting system software, QuickBooks.

Accounts payable management – The administrator reviews all invoices for payment and processes all payments through the financial accounting system, QuickBooks.

Payroll management – The administrator is responsible for ensuring that all time cards are accurate, and sending the payroll spreadsheet to our payroll vendor for processing.  In addition, the administrator reviews the cash accounts and transfers the necessary funds from the operating account to the payroll account to cover the payroll, and records the payroll entries in the general ledger of QuickBooks.

Supplies management – The administrator ensures that all office supplies, medical supplies and various items necessary for the operation of the office are kept at sufficient levels.  While this is largely a delegated duty, the administrator needs to mange those that do it to ensure that it is done effectively.

Equipment maintenance – Although all of the equipment has maintenance and service agreements, the administrator needs to ensure that these agreements are kept current, and needs to know who to call when services are needed, and needs to follow up with those companies as necessary.

Accounts Receivable management – The administrator needs to understand billing and collections well, so that he/she may oversea the billing manager. Specifically, the administrator should be fully familiar with the referral/authorization requirements of the insurance companies with whom we have contracts.  He/she should have a strong understanding of the paper and electronic billing specifications for filing claims. He/she should be familiar with electronic billing acceptance and rejection reports.  He/she should monitor the cash flow such than any change in inflow of monies from the insurance carriers would be noticed in a timely manner, and the administrator would assist the billing manager, if necessary in identifying the reason for the inflow slowdown. In addition, the administrator should prepare monthly reports for presentation to the physicians. 

Human resources management - All staff members report to the practice administrator.  While most of the staff has been in place for a very long time, the administrator needs to ensure that they have the tools to continue performing their positions in an effective and efficient manner.  Administrator would assist physicians in the hiring/firing of any personnel.
