EBilling Coordinator to $35k+ -

Job Description:
Under general direction, responsible for set-up, implementation, and maintenance of ebilling for the Firm's clients. Assists and trains billers on ebilling. Assists billing attorneys and/or clients with ebilling concerns in adherence to department procedures, billing attorney instructions, and special client arrangements. Performs job functions with attention to quality control, adherence to deadlines, timely reporting on status of ebilling assignments, and thorough analysis of special billing arrangements. Ensures client service and satisfaction are attained in all areas of the position.
Functions

Client Service and Satisfaction in Accounting & Financial Services
1. Satisfy all internal and external clients with excellent service.
2. Pro actively communicate with internal and external clients to ensure position needs are met.
3. Regularly review client service procedures and standards related to position; identify and implement enhancements to client service.

Ebilling Process and Maintenance
1. Applying established knowledge, serve as liaison between the client, billing attorney (and billing attorney staff), billers and the third party vendor to provide and maintain the ebilling website.
2. Facilitate communication between the Firm, client, and ebilling vendor to ensure timely and correct implementation and on-going functionality of electronic billing for the Firm's clients.
3. Coordinate data collection for ebilling matter set-up and on-going maintenance:
a. Oversee matter set-up, including timekeeper and billing rate set up and approval, both on the vendor site and within the Firm's billing system.
b. Assist billing attorneys in creating and maintaining matter budgets and matter plans or status reports.
c. Facilitate annual rate change process between the Firm, the vendor, and the client. Assist billing coordinators in resolving ebilling issues (missing or unapproved timekeepers, incorrect rates, missing claim or matter information, etc.).
4. Review and process ebilling documentation according to attorney instruction and department procedures. Ensure effective and detailed information flow within department, internal, and external clients.
5. Review ebilling documents and client/matter master files for special billing needs and obtain necessary documentation if special billing need is not properly reflected in ebilling. Collaborate with internal clients to define special billing needs.
6. Review rates, discounts, addresses, and other components of ebill for accuracy. Identify discrepancies and independently gather resources and information needed to complete process.
7. Review final bills to insure data integrity. Pro actively collaborate with billers to process and transmit error-free ebills.
8. Provide research assistance as needed to resolve ebilling discrepancies and/or issues. Locate data and information from other sources that may not be readily available.
9. Design and maintain Excel spreadsheets for ebilling analysis. Apply and administer other application tools as needed.
10. Assist other billers and accounting staff as needed with all ebilling concerns. Recommend appropriate solutions.
11. Coordinate and prepare special ebilling projects as needed.
