Conference & Events Project Manager

A company with a 50-year history of leadership and innovation in the travel industry, Virtuoso is currently looking for a Conferences & Events Project Manager to join our team at our Fort Worth, Texas location.

 

The Conferences & Events Project Manager establishes, organizes and manages selected meetings for Virtuoso and assists Director ? Conferences & Events in the organization and management of all meetings.  Individual must be extremely organized, have advanced skills with Microsoft Excel or Access and is a creative thinker. 

Essential duties and responsibilities include the following.  Other duties may be assigned. 

For selected meetings or events:

1.  Determine corporate needs of meeting. Create written documentation for all meeting details and provide necessary communication to senior management, prospective vendors and all attendees.

2.  Select a location/site that meets needs of network constituents.

3.  Conduct contract negotiations with hotels and other vendors.

4.  Prepare agenda and related information.

5.  Organize information to be given to meeting or event participants.

6.  Assess needs for food, beverage and audio-visual equipment and coordinate timely delivery with hotel property.

7.  Create and manage budgets for each event and assist with billing reconciliation.

8.  Generate and update rooming lists.

9.  Create, duplicate and assemble conference materials, including name badges, tent cards, signs, packets and other materials.

10.  Effectively utilize the event management system to ensure accurate attendee lists, rooming lists, logistical information and all other pertinent details.

11.  Provide local office and onsite support during the meeting/event.  Help manage work teams and handle needs of all attendees.

12.  Conduct post-analysis of event and submit written recommendations for improvements for future meetings.

Other duties are as follows:

13.  Supervise personnel as appropriate, including management of vacation time and execution of performance reviews.

14.  Coordinate and communicate with Director of Conferences & Events on all pertinent information regarding meetings and events.

15.  Travel required ? both domestic and international.

16.  Other projects as assigned.

 

 

Educational and Skills Requirements:

?  High School Diploma; College Degree preferred

?  10+ years of experience in meeting and program planning or equivalent experience in process management role

?  7+ years general management experience

?  5+ years of travel industry experience

?  Solid understanding of meetings & events management including housing and reservations, air and ground transportation, shipping procedures and contract negotiations

?  Excellent verbal and written skills

?  Ability to maintain great attention to detail

?  Ability to work with multiple customer groups while maintaining a positive attitude in high pressure situations

?  Ability to multitask, prioritize, and problem solve in a deadline driven environment

?  Proficiency in MSWord, MSExcel, and Outlook

?  CTA/CTC preferred
