International Order Services Coordinator

Ingersoll Rand Climate Control Technologies Sector is seeking an experienced International Order Services Coordinator for our Minneapolis, MN location.

POSITION SUMMARY:

Provide clerical and administrative support to the Order Services Departments to allow for efficient, effective order processing and customer relations. Build a positive, responsive image of Order Services with customers, dealers and other departments. Build and maintain strong relationships with all stakeholders in the order process. Conduct research needed for problem resolution.

RESPONSIBILITIES:

Possesses strong project management skills. Ability to organize and coordinate multiple tasks. Communicates information in a timely fashion with the appropriate sense of urgency. Provides administrative support involving a variety of matters with high attention to detail.

Prepare and maintain accurate order related documentation including invoices, debits, credits and other documentation as required for all units and parts sales. Needs to know multiple systems to administer for both units and parts: POEM, COPICS, Dropshipments, 919, keyfast and credit systems.

Administers the dropship invoicing program. Monitors and acts on all audit reports. Has a high attention to customers needs. Maintains a high level of discretion and confidentiality in dealing with sensitive material. Conducts research on behalf of order services representatives to resolve customer problems.

Able to work in a high pressure, fast-paced work environment. Takes calls from customers and dealers as needed. Provides prompt responses to basic questions or directs calls to the appropriate order services representative. Processes routine phone, email and fax inquiries as required.

Regularly uses computer software such as Word, Excel, Power Point, Access, and Lotus Notes. Proven proficiency of same.

Creates, generates, and updates detailed reports/spreadsheets. Maintains department metrics. Makes travel arrangements, schedules meetings, orders and maintains supplies, disperses mail. Maintains centralized filing system for orders and invoices in line with record retention policies.

REQUIREMENTS/QUALIFICATIONS:

High School diploma required.

2 + years administrative experience requiring attention to detail and strong communication skills; telephone, verbal, written and listening.

Competent PC skills including Word, Access, Excel, Power Point, and Lotus Notes.

Fluency in Spanish required.
