First Magnus is seeking an Administrative Assistant/Office Manager for our Ft. Lauderdale Office!

Qualifications
We are seeking an experienced Executive Assistant to support our Ft. Lauderdale Wholesale Branch Manager. In this role, you will be responsible for:

?  Maintaining the RM's calendars, scheduling appointments, events and conference calls

?  Acting as a focal point for a wide range of departmental and company policy information, questions, issues, etc.

?  Making travel arrangements, preparing itineraries, and tracking budgets and expenses

?  Coordinating the details of annual and monthly trade shows, industry events, departmental, regional and customer meetings, negotiating scheduling issues and gathering necessary information or documents

?  Managing inventory, coordinate servicing of department equipment(laptops,projectors,etc.) and promotional marketing materials

?  Overseeing submitted human resources transactions paperwork, timekeeping(timecards), sick time/vacation requests and expense reports

?  Supporting all regional HR initiatives such as orientation of new hires, coordination of training, performance evaluations, compensation plans, etc

?  Preparing and editing PowerPoint presentations and other correspondence

?  Assisting the Regional Manager by responding to emails, managing phone calls and coordinating conference calls

?  Downloading,creating,maintaining and analyzing a variety of tracking reports using Excel spreadsheets

?  Interacting with external customers, providing and gathering critical sales information with a high level of professionalism and
confidentiality

?  Handling sensitive and confidential internal company documents with discretion and
professionalism

?  Maintaining a positive attitude while multi tasking and working under project deadlines

To qualify for this position, you will be an energetic team player with excellent organization & people skills dealing with all levels of individuals within the organization. You will use your superior judgment and discretion while interacting with clients and handling sensitive sales, human resource, and business documents. In addition, you will possess a minimum of 1-3 years successful track record supporting a high level executive, superior written and verbal communication skills, and proficiency in Outlook, Microsoft Word, Excel, Access, and PowerPoint.
