Job Description
REQUIREMENTS:

* Business/Secretarial school graduate and/or 4 to 7 years' work-related experience. An Associate's degree or Bachelor's degree in Business Administration is a plus

* Excellent interpersonal and communication skills, both oral and written

* Proficiency with Microsoft Office Applications including Outlook, Microsoft Excel, PowerPoint, Word, and BIPI business tools (ARIBA, SAP, Get There, Resource Scheduler, BI Tracts, Idea for CON and Timewizard)

* Good attention to detail and follow-up skills are required

* Ability to take initiative and work independently in a team environment

* Ability to multi-task, receive directives from multiple staff members and complete assignments on time

* Strong clerical and organizational skills with an ability to set and follow priorities

DUTIES AND RESPONSIBILITIES:

* Department Vice President Support - Execute directives from Vice President as required to include all items mentioned in Director support

* Department Director Support - Support Department Director staff as needed including scheduling meetings, maintaining calendars, travel arrangements, expense reports, miscellaneous clerical tasks and special projects as needed

* Department support - Travel arrangements, triage and handle staff requests, distribute department notices, new employee set up

* Generate monthly budget spending reports from SAP and assist with purchase orders, invoice submission and payments

* Recruiting/Candidate Schedules - Coordinate and prepare candidate interview schedules, seminar notices, conference room reservations, maintain related databases, work closely with Medicinal Chemistry and Human Resources

* Visitor Schedules - Coordinate and prepare Visiting Professor contracts and payment, agendas, seminar notices, conference room reservations, travel arrangements

* Handling confidential and sensitive situations/materials in a mature and professional manner

* Timely compliance of all department and BI procedures and policies
