M&R Analyst and Invoice Auditor

GENERAL SUMMARY

 

This position will provide analytical support and invoice auditing functions for the Container and Chassis Maintenance and Repair (M&R) Department.  This position must interact in a variety of departments within Pacer Stacktrain and with numerous suppliers supporting maintenance and repair.

 

Excellent analytical support will be required to prepare daily, weekly and period reports using data from numerous computer sources in order to provide specialized reports to management and other internal and external customers.

 

The position will also perform the estimate/invoice auditing process against standards established by Pacer Stacktrain and various repair vendors, resolving exceptions so the vendor?s invoices/estimates can be processed in a timely and accurate manner.  The auditor has joint budget accountability for delivering M&R expenses within budgeted amounts.

Primary Accountabilities and Measures

 

? Produce daily, weekly and period trend reports as required for the team through IDCS, Discoverer, and Mainframe systems.

o  Weekly/Period Out of Service Reports

o  Weekly/Period Road Service Logs

o  Weekly/Period Unit Cost Reports

o  Weekly/Period Actual to Budget Reports

o  Prepare Discover reports as required

o  Prepare other M&R analysis and reports as necessary

 

? Audit and process electronic invoices.

o  All invoices to be processed within 5 working days of receipt

o  Process manual invoices through the APL mainframe system

 

? Provide approval and purchase order authority for repairs exceeding estimate threshold.

o  Estimates over threshold to be processed within 24 hours (excluding weekends) of receipt. 

 

? Review, research and resolve vendor discrepancies.

o  All discrepancies to be resolved within 5 days of receipt.

o  Build and maintain vendor relationships

o  Report trend and root cause analysis on repairs for your assigned vendors

 

? Obtain information as required to correctly process vendor invoices and estimates.

o  Maintain and update procedural manual as needed.

 

? Request, review and maintain documentation from various field and corporate locations to provide audit support of vendor invoices as needed.

 

? Identify areas of opportunity through auditing vendors work orders.  Provide documentation and information to the team to pursue resolution through the audit process.

 Job Qualifications

 

? Minimum of 3 years in transportation industry with relevant experience in equipment maintenance, management, operations, or equipment control environment.

? General auditing, accounting, and accounts payable experience a major plus.

? Intermediate PC use/knowledge of Windows, Microsoft Excel and Word, Oracle Discoverer Plus, PowerPoint & Access.

? Attention to detail, process orientation, ability to process a large number of transactions and apply rigorous audit and procedural rules a requirement.

? Must be comfortable multi-tasking and tracking and following-up on multiple open problem items simultaneously.

? Ability to analyze data and determine trends.

Working Conditions

 

The working environment is an internal office environment where there is no physical discomfort due to temperature, dust, noise and the like.  Job responsibilities warrant continuous exposure to a PC monitor, and sitting for long periods of time. A lot of time is spent on business calls via the telephone.
